Post-Sale Checklist for JBFOne & POS

The post-sale clean up for preparing to cut checks to your consignors involves using both JBFOne and POS. The rates, fees, and credits can be updated entirely in JBFOne and then exported to POS to apply to the transaction details.

1

Configuring Payout Rates

Go to Event Setup > Event Checklist > Payout Rates and configure base rates for Consignor, Valet Consignor, Valet Tagger, etc. Note: You do not need to account for team members here as those are handled by the Team Schedule settings.

Next, go to Payout Rates > Settings to set the max rate for consignors. This is useful if you have a team lead working on payout details. Only users with Owner permissions can override the max payout rate.

2

Configuring Payout Methods

Go to Event Setup > Event Checklist > Payout Methods and configure any payout increases, fees, or credits based on the payout method (e.g., SmartPay applies an additional 10% payout)

3

Configuring Team Schedules

Go to Team Schedule > right hand panel to set the Base Payout Adjustment for team members that work at least one shift (clock in and clock out is required) during the event.

If you provide payout adjustments at the shift level, you can go to the shift editor and add payout adjustments there.

Note: adjustments at the schedule and shift left will be aggregated so it is most common to add at one or the other. There are some cases that using both is warranted.

4

Clock Out All Open Shifts

The team schedule payout rate adjustments are only applied to team members that clocked in AND clocked out of their shifts.

Go to Team Schedule > Dashboard to see if you have any team members that were not clocked out. The last column on the view is "Not Clocked Out" and you can drill into the total to update them in batch.

5

Assigning Payout Rates

Go to Consignors menu and use the filter bar and Advanced Filter panel to view specific lists of consignors.

Common filters include status of Confirmed and Drop Off status of Checked In. That view is your base set of consignors that participated in your event. From there you can include/exclude groups, use shift filter options, tag volume, and other options to create the specific list you need.

Use the Select All Pages feature and then choose the Payout button on the batch update bar. You can choose the appropriate Payout Rate and click Apply.

Most events have several "groupings" of consignors to apply rates to so you can go through these steps multiple times until everyone has the correct rates.

You can see the payout rate column in the Consignor table view. For a more detailed view, click on Full Profile and go to the Payout tab to see the breakdown of the total Payout Rate calculated.

.

This same tab allows you to apply one-off overrides as needed for friends, family, and other exceptions.

6

Create Fee/Credit Import File

For NYTs and other fees you may charge consignors (e.g., batteries), create a spreadsheet that captures consignor #, description, and amount (fee/credit). If you used POS to scan NTYs, you can export the list from POS and create your fee list from that. When your list is ready, export/download the tab to a CSV file.

Note: The import file can have more than one line item per consignor and each will be imported and attached to their event registration. This information displays for consignors on the My Event Summary > Registration > Payments screen.

7

Import Fees/Credits File

Go to the Consignors menu and click on the Import dropdown button and select Import Custom Fees/Credits.

Set the direction for your fees and credits based on how you have them designated in the file. For example, if the fees are positive #s, choose Positive on the popup form.

After you select your file and click Next, you can map the fields/columns in the file to the import tool.

Click import and the import tool will show you how many fees and credits were imported. If there are any invalid rows, you can click on the Download Exceptions button to review the list.

You can see the Total Fees on the Consignor table view. For a more detailed view, click on Full Profile and go to the Registration tab to see the full breakdown of registration and deduct from payout fees/credits.

8

Export Active Consignors to Excel for Review

With the payout rates, fees, and credits applied, you are ready to review the Active Consignor export before importing into into the POS software.

Go to the JBFOne POS menu and click the Excel link next to Active Consignors. This will give you the complete file for you to review and spot check.

9

Export Active Consignors to tab delimited for POS

Once you are sure that the rates, fees, and credits are accurate in JBFOne, you are ready to export the Tab Delimited format file that will be imported into the POS software.

Note: The comments field is used for the Payout Method and will overwrite the Consignor comments field in POS when imported. If you have information in that field that you need to save, export the Consignor data from POS before importing the file.

10

Update POS Preferences

Before you import the Active Consignors file into POS, first go to the Preferences screen to clear out the default consignor payout rates, fees, and NTY details. Do not clear out Default Team Member %. These are all covered by the steps you performed in JBFOne.

If these are not cleared out, they will be applied for consignors that did have information in the Active Consignors export. This may cause problems with your data.

11

Import Active Consignors file

Perform a normal Consignor import in POS and select the Active Consignors export you created in Step 9. This will update all the necessary details needed before you create your export for cutting checks.

12

Consignor Payment Instructions

Consignors can see all the fee and credit details now on their My Events Summary. On the Registration page, there is a card for Payments that you can now provide instructions/detail on.

Go to Event Setup > Event Checklist > Event Info > Cards and select the Payment Summary card to display details in that card.
