Check In/Out: Drop Off, Tickets, Pickup & Team Shifts
Check In/Out is where you process every arrival at your sale — consignor drop off, ticket redemption, pickup, and Team Member shift check-in — all from one screen. It works the same way whether you're running it from a desktop with a scanner, a tablet, or a phone.
What you'll complete:
- Open Check In/Out from POS or My JBFOne
- Run a quick scan-and-go station, or search a specific consignor
- Understand how Drop Off, Tickets, and shift check-in connect to each other
- Cancel a check-in made in error
- Know what to do when someone isn't registered
Opening Check In/Out
Why this matters: Check In/Out works the same no matter which device you're running it from, so your morning drop-off crew can spread across a desktop, a couple of tablets, and their phones without missing a step.
Where to find it: POS → Check In/Out or MyJBFOne → Check In/Out or Mobile: Manage → Check In/Out

Pro Tip: Check In/Out runs on desktop with a barcode scanner, on a tablet, or on a phone — use whichever combination fits your process.
NOTE: If you're using shared sale devices rather than personal ones, and no permissions have been assigned, the same login can be active on multiple devices at once — several check-in stations can all be signed in as the same account at the same time.
Two Ways to Check Someone In
Why this matters: The top tabs and a consignor search do different jobs. Knowing which one to reach for keeps a fast-moving line moving.
Quick Scan by Station
Use this when a device is stationed at one job — a drop-off table, a ticket-scanning table, a pickup line. Select the matching tab once, then scan or click through everyone in that line without opening a single profile.
Where to find it: Check In/Out → Drop Off / Tickets / Pick Up / Shift

Steps:
- Select the tab that matches your station — Drop Off, Tickets, Pick Up, or Shift.
- Scan or click through each consignor — every scan checks them straight into that tab's type, no profile lookup needed. ✓
In the Drop Off tab and a Team Member asks to clock in? No need to switch tabs — search or scan them and click Clock In on their profile.
Search a Specific Consignor
Where to find it: Check In/Out → Enter consignor #, phone, or email

Steps:
- Search by consignor #, phone, or email.
- Confirm you have the right person — the profile shows their name, status (Confirmed, Cancelled, or Not registered for this event), consignor #, contact info, and group tags.
- Click into whichever card applies — Drop Off, Tickets, Pickup, or Shift, and check them in. ✓
Pro Tip Drop Off, Tickets, and shift Clock In all scan against the same consignor number / QR code, found on the consignor's phone. A checked-in item turns green with a checkmark and a timestamp.
On the left side of the screen, the All / Appt / Tickets / Shifts tabs filter the day's check-in activity log by type — use them to review all of today's shift clock-ins together, all ticket scans together, and so on.
The Consignor Profile Card
Why this matters: Every search or scan pulls up the same profile card at the top of the check in screen — knowing what each piece means at a glance keeps the line moving.

- Consignor # — their unique ID, same one tied to their QR code.
- Registration Status — Confirmed, Cancelled, or Not registered for this event, etc. See Glossary of Terms for full definitions.
- History — shows the consignor's seller history at a glance: New Seller, New to Location, or Returning Seller.
- Contact Info — phone, email, and address on file.
- Current Event — which sale this profile is showing activity for.
- Groups (set to display at check-in) — only the groups configured to show here appear; not every group a consignor belongs to is visible on this card.
- Amounts Paid/Due — what's been paid and what's still owed for this event.
Pro Tip: Show important & relevant groups at check in. e.g. Perfect Consignor, Express Drop Off, Contest Winners, etc
Drop Off, Tickets & Pickup
Why this matters: Drop Off check-in is what activates ticket redemption — no drop off, no ticket. Many Team ticket upgrades are used before a shift even starts, so ticket access can't be tied to shift check-in the way payout percentage is; it's tied to Drop Off instead.
Tickets themselves are configured during Event Setup and selected either at registration or afterward through the summary cards under the Events tab — which is also where tickets can be shared with a consignor directly [LINK TO TICKET SHARING ARTICLE]. Once a ticket is configured and shared, it only becomes available for scanning after that consignor checks in through Drop Off.

Pro Tip If a consignor has no scheduled appointment, the card reads “No Drop Off Appointment” (or Pickup) and can still be checked in directly.
Checking In a Team Member for Their Shift
Why this matters: Shift check-in does double duty: it gets a Team Member on the clock, and it updates their consignor payout percentage to match your JBFOne settings for that shift.
Where to find it: Check In/Out → Shift

Steps:
- Select the Shift tab, or search/scan the Team Member directly.
- Select the correct Clock In card for their scheduled shift and check them in. ✓
At the end of the sale, when you download your consignors for POS and check cutting, team payout percentages are already configured into that file based on the shifts each person clocked into — there's no manual percentage entry to do afterward.
A Team Member's full check-in history — shift clock-ins and clock-outs alongside their own Drop Off, Tickets, and Pickup activity — shows together on the All tab on the left, since one person can be both a consignor and a Team Member.
When Someone Isn't Registered

If a search returns “Not registered for this event,” the consignor needs to go online and register/pay first, then come back through the line to check in. Check-in is what activates a consignor's tickets — skip it, and their tickets will not work, even if they registered.
Canceling a Check-In
Why this matters: Mis-scans happen. Cancel clears the check-in cleanly instead of leaving a bad record on the consignor's profile.
Where to find it: Check In/Out → checked-in item → Cancel

Steps:
- Find the checked-in item and click Cancel.
- Confirm by clicking Yes, cancel in the pop-up. ✓
Cancel is meant for correcting a mis-scan or an accidental check-in — it's not a way to un-arrive someone who's already on-site.
Who Can Access Check In/Out
Why this matters: Check In/Out access is controlled the same way other module permissions are — through Team Groups — so you decide who's allowed to check people in before the sale ever opens.
Where to find it: Team Members → Groups → Access

Check In/Out currently shows up as one of the checkboxes under Module access on a Team Group's Access tab. Any Team Member in a group with that box checked can open and use Check In/Out.
Pro Tip Check In/Out permission is currently assigned at the Team Group level, not tied to a specific shift. A future update will let you tie this permission to shifts directly, so a Team Member only has access during their scheduled shift (with a buffer window) — not before or after.
You're Set Up to Run Check In/Out
You know how to run a quick scan-and-go station, search a specific consignor, process Drop Off, Tickets, Pickup, and Team Member shifts, fix a mis-scan, and how Check In/Out access is controlled through your Team Groups.
Next Steps:
- Review Team Groups, Roles & Permissions to set up who can access Check In/Out
- Set up appointment scheduling if consignors aren't yet selecting Drop Off/Pickup windows at registration
